Terms and Conditions

By making a booking with Caroline Travel LLC (“Caroline Travel”), you (“the Client”) agree to be bound by the following Terms and Conditions. Caroline Travel reserves the right to modify these Terms and Conditions at any time. Any changes will be effective immediately upon posting to our website or upon written notification to you.

1. Limitation of Liability

Caroline Travel acts solely as a booking agent for various independent travel service providers, including but not limited to hotels, tour operators, air charters, yacht charters, cruise lines, ground transportation companies, adventure outfitters, guides, and commercial airlines (“Suppliers”). Caroline Travel does not own or operate any of these Suppliers. As Caroline Travel only facilitates bookings and has no control over the operations of the Suppliers, you agree that Caroline Travel shall not be liable for any personal injury, death, delays, property damage, or inconvenience arising from the use of these services. By accepting these Terms and Conditions, you release Caroline Travel from any liability and assume all associated risks.

2. Assumption of Risk

Travel inherently involves risk, and certain destinations and activities carry more risk than others. Caroline Travel does not warrant that travel to any specific destination or participation in certain activities is free of risks. You acknowledge that your participation in travel is at your own risk. It is your responsibility to review travel advisories and warnings issued by the U.S. Department of State prior to booking travel to international destinations. You also accept responsibility for understanding the risks associated with certain activities, including but not limited to scuba diving, wildlife trekking, skydiving, skiing, whitewater rafting, horseback riding, motorized sports, shooting sports, rock climbing, snowmobiling, kayaking, helicopter tours, and charter flights. By agreeing to these Terms and Conditions, you release Caroline Travel from any liability associated with these risks.

3. Travel Documents

It is your responsibility to ensure that you and any accompanying travelers possess all necessary documentation, including valid identification (e.g., passport, driver’s license), visas, and any other required paperwork. The name, date of birth, and gender provided to Caroline Travel must match exactly with the details on your travel documents, including airline tickets and booking records. Some countries require passports to be valid for at least six months beyond the date of entry. Children and infants also require proper documentation, and additional documentation such as a birth certificate or a notarized letter of consent may be required when traveling without one or both parents. You are responsible for obtaining all necessary documents and understanding the requirements for the destination.

Certain destinations may require proof of vaccinations prior to travel. You are responsible for consulting your healthcare provider to ensure compliance with any vaccination requirements and for carrying appropriate documentation.

Caroline Travel will not be held liable for any losses or expenses incurred due to invalid or incorrect travel documents or failure to carry the necessary documents.

4. Payments, Cancellations, and Service Agreement

You agree to review and confirm all travel-related information provided by Caroline Travel, including payment schedules and terms, as well as details about passenger data, travel dates, accommodations, tours, activities, and transportation. You agree to adhere to the payment schedules and terms established by Caroline Travel and the respective Suppliers. Failure to comply may result in the cancellation of your booking, and penalties may apply. All payments made to Caroline Travel are non-refundable, and Suppliers may impose additional non-refundable cancellation penalties, which may apply immediately at the time of booking.

It is your responsibility to understand the cancellation policies of the Suppliers and the terms of the bookings made on your behalf. Caroline Travel cannot control or alter these penalties and will not be able to recover funds lost due to cancellations subject to Supplier penalties.

In addition to Supplier penalties, Caroline Travel reserves the right to impose a cancellation fee equal to 10% of the total trip cost. This fee is intended to compensate Caroline Travel for lost revenue due to the cancellation.

5. Travel Insurance

Caroline Travel strongly recommends that you purchase travel insurance to protect your investment. Travel insurance is a separate expense and must be purchased prior to travel. Travel insurance may cover unforeseen events such as trip cancellations, delays, interruptions, emergency medical expenses, and emergency medical evacuation, provided the circumstances are covered by the policy. Caroline Travel will not be held liable for any losses that could have been covered by travel insurance had you purchased it. Caroline Travel is not authorized to interpret or advise on the terms, conditions, exclusions, or benefits of any insurance policy and recommends that you carefully review the policy details before purchase.

6. Pricing and Travel Planning Fees

Caroline Travel aims to offer value by presenting travel options at competitive prices from reputable Suppliers. While we strive to ensure that our clients enjoy exceptional luxury travel experiences, our focus is not solely on providing the lowest available rates. Caroline Travel charges planning fees to cover time consulting, researching, planning and executing travel arrangements which vary dependent on the type of trip and are non refundable. While an initial consult is complementary, a deposit is often required before any work on a custom itinerary is started.

7. Airline Tickets

Caroline Travel will offer to book airline tickets for an additional fee per person. It is not required that you book airline tickets with Caroline Travel. If you choose to take advantage of this service, you must provide accurate and complete information during the booking process. Caroline Travel may place seats on hold and quote a price however this is subject to change until flights are issued with payment to the airline. Once paid, your airline ticket is a contract between you and the carrier subject to their policies. It is your responsibility to immediately review your confirmation checking that names and travel dates are accurate. Caroline Travel does not assume responsibility for errors due to being provided with inaccurate or incomplete information, airline changes or cancellations. Changes requested by you are subject to additional fees imposed by the carrier and fare differences. Most airline tickets are non refundable if cancelled resulting in credits to be used within 1 year. You must contact Caroline Travel to rebook flights using these credits. If you purchase airline tickets through Caroline Travel, you acknowledge and agree that Caroline Travel is not liable for any personal injury, death, property damage, additional fees imposed by the airline for seats or baggage or inconveniences caused by delays, aircraft changes or cancellations.
